Privacy Policy
GigTally, LLC ("GigTally", "we", "us") runs GigTally, a job management platform for independent operators and agencies, at gigtally.com. This policy explains what personal information we collect, how we use it, who we share it with and the choices you have. It covers the GigTally website and app, the client portal, subscriber websites and digital business cards we host, connected devices that sign in to GigTally, and partner services such as BoothAnywhere that use your GigTally account to sign you in.
1. Information we collect
Information you give us
- Account details: your name, email address, phone number, business name, profile photo, and the role and plan you choose. Your password is stored only as a one-way hash, never in readable form.
- Content you add: jobs, events, clients, venues, team and talent records, calendars, notes, messages, files, photos, documents, forms, e-signatures, inventory and equipment, payroll records, and anything else you enter or upload.
- Payments: when you buy a subscription or take payments through GigTally, card and bank details are entered directly into forms run by our payment processors (Square and PayPal). We receive only what they send back, such as the payment status, the amount, the last four digits of the card and the billing name. We never see or store full card numbers.
- Support and communications: what you send us in support tickets, chat, email or feedback.
- Connected services you choose to set up: for example, if you connect an email mailbox so GigTally can file job emails for you, or connect a meeting or calendar service. We access those only to provide the feature you turned on, and you can disconnect them at any time.
Information collected automatically
- Sign-in and security data: your IP address, browser and device type, an identifier for each device you sign in from, and the date and time of each sign-in. We use these for two-step verification, to recognise devices you have already approved and to detect suspicious sign-ins.
- Usage data: the pages you visit and the features you use, and error and performance logs from our servers.
- Connected devices: if you register GigTally hardware (such as a hub), its device identifier, software version, status and the data it sends to your account.
Information from others
- Google, if you choose Sign in with Google (see section 2).
- Other GigTally users, for example when a subscriber adds you as a client, team member or talent, or invites you to a job (see section 4).
- Payment processors, who tell us whether a payment succeeded.
2. Sign in with Google
If you choose to sign in or sign up with Google, Google shares with us your name, email address, profile photo and Google account ID, and tells us whether Google has verified your email address. We ask only for the basic openid, email and profile permissions. We do not get access to your Gmail, contacts, calendar, Drive or any other Google data, and we never see your Google password.
We use this information only to:
- sign you in, and link your Google account to the GigTally account that uses the same verified email address;
- fill in your name, email and photo when you create a new account; and
- keep your account secure.
We do not sell this information, use it for advertising, or share it with anyone except as needed to run GigTally, as described in section 5. You can disconnect Google at any time under Profile → Account in GigTally (after setting a password), or by removing GigTally's access in your Google account settings.
GigTally's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
3. How we use information
- To provide GigTally: create and run your account, store and show your content, and deliver the features you use.
- To process subscriptions and payments, and to send receipts and account notices.
- To send the emails and text messages you or your business ask GigTally to send, such as job confirmations, reminders and sign-in codes.
- To keep accounts and the service secure, including two-step verification, fraud prevention and investigating misuse.
- To provide support and answer your questions.
- To understand how GigTally is used, and to fix and improve it.
- To tell you about new features or offers. You can opt out of marketing emails at any time; we will still send you account and security messages.
- To meet legal obligations and enforce our Terms of Service.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
4. Information subscribers add about others
Businesses that use GigTally ("subscribers") store information about their own clients, venues, team members and talent: for example names, contact details, event details, payments and documents. For that information, the subscriber decides what is collected and how it is used, and GigTally processes it on the subscriber's behalf, as their service provider. If you are a client or contact of a GigTally subscriber and have a question about your information, please contact that business first. We will help them respond and, where the law requires it, we will help you directly.
Some features are public by design and are controlled by the subscriber, such as subscriber websites, digital business cards and shared links to files or documents. Information a subscriber publishes there can be seen by anyone with the link.
5. Who we share it with
We share personal information only as follows:
- With the people you choose. For example, your team, partners, talent or clients when you share a job, document or portal with them, or partner services like BoothAnywhere when you sign in to them with GigTally.
- With service providers that help us run GigTally, under contracts that limit their use of the information to providing their service to us:
| Provider | What they do for us |
|---|---|
| Amazon Web Services | Hosting, databases and file storage (United States) |
| Square, PayPal | Subscription billing and payment processing |
| Twilio | Text messages, phone calls and sign-in codes |
| SendGrid (Twilio) | Sending email |
| Sign in with Google, maps and addresses, website analytics, and some AI features | |
| Anthropic | Some AI features (see section 7) |
| Zoom | Video meetings, if you connect it |
- For legal reasons: to comply with the law or a valid legal request, to protect the rights, safety and property of GigTally, our users or others, or to enforce our terms.
- In a business transfer: if GigTally is involved in a merger, acquisition or sale of assets, in which case we will tell you before your information becomes subject to a different privacy policy.
- With your consent, in any other case.
6. Cookies and analytics
We use cookies and similar technologies:
- Essential cookies keep you signed in, remember devices you have approved for two-step verification, and protect sign-in (including short-lived, signed cookies used during Sign in with Google). GigTally doesn't work without them.
- Preferences remember choices such as your settings and layout.
- Analytics: we use Google Analytics to understand how our website is used. Google may set its own cookies for this. You can opt out with Google's browser add-on or by blocking analytics cookies in your browser.
We do not use advertising cookies. Most browsers let you block or delete cookies, but blocking essential cookies will stop you from signing in.
7. AI-assisted features
Some optional features use artificial intelligence, for example to help design templates or create images. When you use them, the text, images or other content you submit to that feature is sent to the AI provider that powers it (currently Anthropic or Google) to generate the result. We do not allow these providers to use your content to train their models. [Confirm: true for Anthropic's API by default; for Google Gemini only on a paid API plan] Don't include sensitive personal information in AI requests unless the feature needs it.
8. How long we keep it
We keep your account information and content for as long as your account is open. If you close your account, we delete or anonymise your personal information within [90] days, except where we must keep it longer to meet legal, tax or accounting obligations, resolve disputes or enforce our agreements. Copies in backups are overwritten on our normal backup cycle. Server logs are kept for up to [12 months].
9. Security
We protect your information with encryption in transit (HTTPS), hashed passwords, two-step verification for new devices, access controls that limit who at GigTally can see your data, and hosting in professionally managed data centres. No system is perfectly secure, so please use a strong, unique password and tell us right away at support@gigtally.com if you think your account has been compromised.
10. Your choices and rights
- Access and correct: you can view and update most of your information in your profile and settings.
- Export: you can ask for a copy of your information in a commonly used format.
- Delete: you can ask us to close your account and delete your information.
- Marketing: use the unsubscribe link in any marketing email. To stop text messages, reply STOP.
- Google: disconnect Google under Profile → Account, or in your Google account settings.
Depending on where you live (for example California, other US states, the UK or the European Economic Area), you may have additional rights, such as the right to know what personal information we hold about you, to have it deleted or corrected, to object to or restrict some processing, and to withdraw consent. We will not discriminate against you for using these rights. To make a request, email support@gigtally.com. We will verify your identity before acting on it, and you may use an authorised agent. If you are in the UK or EEA, you can also complain to your local data protection authority.
11. Children
GigTally is a business tool and is not meant for children. You must be at least 18 to create an account, and we do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.
12. Where information is stored
GigTally is based in the United States, and your information is stored and processed in the United States. If you use GigTally from outside the US, your information will be transferred to the US, where privacy laws may differ from those where you live. Where the law requires it, we use appropriate safeguards for these transfers.
13. Changes to this policy
We may update this policy from time to time. If we make significant changes, we will let you know by email or in GigTally before they take effect. The date at the top shows when it was last updated.
